Commercial exhibition plan
Contract terms
1.- The commercial exhibition will be located in the conference venue, namely the Fundación Jiménez Díaz, as detailed on the attached floor plan.
2.- Stands in the commercial exhibition will be assigned strictly according to the order of arrival of applications in the Technical Secretariat. Should two applications for the same stand arrive at the same time, the overall financial contribution to the conference will be used to decide priority.
3.- In the event of force majeure, the organisation reserves the right to change the location of a stand that has already been contracted, making every effort to avoid prejudicing the interests of the exhibitor.
4.- Bookings for stands will be cancelled if full payment is not received by the due date.
5.- The cost of renting a space in the commercial exhibition is as follows:
a) per 3x1,5 m stand: 4.000 €
Form of payment:
50% on signature of the contract
50% remaining by 31 March 2010
Cancellations
Cancellations notified before 31 March 2010 will be subject to a cancellation fee of 20% of the total price. No refunds will be made for cancellations notified after the above date.
6.-The Organising Committee will provide each stand with two (2) identity cards and one (1) registration free of charge. Staff attending the stand must wear the identification cards provided by the organisation to this end at all times.
7.- The installation and assembly of the stands will be carried out by each exhibitor. Those who need extra electric power (more than 400 w) must notify their requirements to the technical secretariat. Because the place for the commercial exhibition is restricted, please note the booths must have the right measures (umbrella type would be the more convenient)
8.- The exhibitors must avoid damaging the area where their stands are located. The cost of repair of any damage occurring as a result of assembling the stand shall be met in full by the exhibitor.
9.- The organisation declines all responsibility for any material left on the stands. Insurance is to be arranged by the exhibitor at their own cost
10.- The commercial exhibition will be open as from the moment in which the scientific programme of the conference begins, and will remain open until the conference ends.
11.- The schedule for assembling and removal of the modular stands will be made available to exhibitors 30 days before the start of the conference.
